Non-Compliant Applications

This is a gentle reminder to all applicants that we are unable to accept non-compliant applications. Each time anyone writes in to apply for our aid (irrespective of how many times the applicant has applied), the policies and procedures are sent and it is stated very clearly that the receipt has to bear the applicant’s full name (as per bank account) and must bear the vet’s signature and clinic stamp.
Some weeks back, we received an application whereby the applicant said that the vet refused to sign on and stamp the receipt. Apparently, the clinic cashier said that we “should” accept the receipt as it is. I’m sorry, but we cannot because we have very strict audit and we do have rules.
Today, it is quite sad that an application was sent in by a applicant who has applied before (but seems to be rather forgetful). All her receipts had no name and were not signed or stamped by the vet. The receipts also did not state what kind of procedures were done. So we called the applicant and explained that we could not accept such receipts and that if she still wishes to apply, she could go get a letter from the vet verifying that these receipts were issued to her.
She called back to say that the vet refused to issue the letter and also refused to write her name or sign and stamp on the receipts. She asked me to call the vet, but it is not in our place to call the vet because this is not between us and the vet. This application is between the applicant and us and the onus lies on the applicant to get everything in order, in compliance with our policies.
So for such cases, we are sorry but we cannot help.
Out of the hundreds of applications we receive every month, so far only two have had this problem of the vet refusing to write the name of the client and to sign and stamp on the receipt. I don’t remember if it’s the same vet too because the first case was some weeks back.
Rules are made to be followed. So to all applicants, if you wish to apply, kindly ensure the receipt bears your name and the vet’s signature and clinic (or personal) stamp. If you have the intention to apply for our funds, perhaps it would be wise to check with the clinic first, if the receipt would have the client’s name and if the vet is willing to sign and stamp it.
