Why We Need Sufficient Information From Applicants

Recently, some applicants have complained that we write back asking for more information before providing our subsidies. Some have requested that we call up the vet instead.
First, we hope to work with the applicants with goodwill and trust. Sufficient information regarding the animal’s treatment, condition, etc. are required to justify our provision of the subsidy. Sufficient photos are also required, especially for medical cases. For neutering, we only require a pre- and post-op photo. For vaccination, we need a photo of the animal and a photo of the vaccination card which shows the sticker on the vial. For medical cases, photos which show the progress (or not) of the animal would be most appreciated. It will also indicate that the rescuer does visit the sick animal.
Our plea to applicants: Please do not use old photos. Please send us a latest photo for each application even though it is for the same animal.
Second, we try not to call up the vet to ask for details because:
(a) Vets are very busy and our calls would disrupt the time needed to attend to sick animals. If applicants would just provide all documentation and details in full, we would not need to unnecessarily disturb the vets. In any case, we normally do not get to speak with the vet and if need be (to verify really questionable claims), we would have to go to the clinic to seek an audience with the vet.
(b) There is a vet-client confidentiality which we want to respect. We are only fund providers. We are not the vet’s client.
Our relationship is with the applicant and not the vet. But having said this, we are totally grateful to vets who do not mind us asking questions when we need to verify questionable or new cases (only when the need arises).
In view of the above, can we (AnimalCare and its applicants) develop a relationship of mutual trust and goodwill whereby the applicants provide as much information as is required, with full disclosure and honesty, and all documentation in full so that we may proceed with the application and subsidy payment, as quickly as we can?
And in the event that we require more information, the applicants’ cooperation is most appreciated. We hope applicants understand that we need also to be accountable to our donors so that the donors know how their donations have been used.
